you can quickly display any of the modules- mail, calendar, contacts, tasks, or Notes -- by clicking the corresponding button at the bottom of the Navigation Pane, by clicking the module name on the Go menu, or by holding down the Ctrl key and then pressing the function key representing the module you want to display:

MODULE/Keyboard shortcut:
Mail/Control+1
Calendar/Ctrl+2
Contacts/Ctrl+3
Tasks/Ctrl+4
Notes/Ctrl+5

If you want to work in two modules at the same time you can open a module in a second instance of Outlook by right-clicking the module button in the Navigation Pane, and then clicking Open in the New Window.

The order in which Outlook displays contact records is controlled by the File As setting. By default, Outlook fiels contacts by last name (Last, First Order). If you prefer, you can change the File As order for new contact to any of the following:

* First Last
*Company
*Last, First (Company)
*Company (Last, First)

You can create different signatures for use in different types of message. For example, you might create a formal business signature for client correspondence, a casual business signature for interoffice correspondence, and a personal signature for mesages sent from a secondary account. Or you might create a signature containing more information to send with original e-mail messages, and a signature containing less information to send with message replies.

How do I do this?
Tools>>Options>Mail Format>>Signatures>>E-mail Signature>>New

Note: The Lucida Handwriting font looks like a written signature...

You can prevent people who are using Outlook from automatically replying to all recipients of a message you send by creating a custom message form with the Reply to All functionality disabled. For more information, see the article "Prevent e-mail message recipients from using Reply All or Forward" at http://office.microsoft.com/en-us/outlook/results.aspx?qu=prevent+reply+to+all&av=ZOL120

Allows you to make changes to an existing print style (the way the message is presented on the printed page) or create a new one. The default is Memo Style, which prints your name, the message header information, and then the message content.

You can customize how you view, arrange, sort, and group messages in Outlook to help you quickly determine which are the most important, decide on which can be deleted and locate any that need an immeditate response. You can view only certain groups of message such as messages received in the last seven days, unread messages, or messages sent to a certain person or distribution list. You can also view a timeline of all your received messages. There are 8 predefined views, and you can customize any of these to fit your needs:

Category Views: messages, Sent to, Outlook Data Files, Documents

List Views: message with AutoPreview, Last 7 Days, Unread Message in This Folder

Other Views: Message Timeline....also "Custom"

Also.... For ONE-CLICK access to the various views available in the Mail module on the View menu, point to Navigation Pane, and then click current view pane. You can then switch views by selecting the view option you want from the list. The current view pane is displayed by default in the Contacts, Tasks, and Notes modules but not in the mail or calendar modules.

You can choose to respond to meeting requests automatically. if you do, Outlook will process meeting requests and cancellations in accordance with your instructions.

It appears this may be useful for resource calendars for instance.

How do I do this?
Tools>>Options>>Preferences>>Calendar Options>>Resource Scheduling>>Automatically accept meeting Requests and Process Cancellations>>Select Automatically decline conflicting meeting requests AND/OR Automatically decline recurring meeting requests check boxes if you want Outlook to do this.>> Click OK

PostPosted: Wed Jan 02, 2008 11:57 am    Post subject: Personalize Your Workspace - Link to an Internet Calendar Reply with quote

A variety of specialized calendars tracking various things are available from the Micrsoft Office Online Web site. You can link to these Internet calendars from the calendar module so that you have up-to-date info conveniently available, in the same place as your own scheduling info. After you link to an Internet Calendar, you can turn the display on/off by clearing the checkbox in the Other Calendars section of the all Calendar Items list.

How do I do this?
Display a one day view of your calendar>>
Click on Search Calendars Online in the Navigation Pane>>
Select a category and download a calendar>>
The Calendar will appear to the right of your calendar.

To remove this calendar, right click on the tab and click delete.
